Vernon Golf & Country Club (“the Club”) is committed to protecting the privacy and confidentiality of our members, guests, employees, and visitors. This Privacy Policy outlines how we collect, use, store, and protect personal information in accordance with applicable privacy legislation, including the Personal Information Protection Act (PIPA) of British Columbia.


1. Information We Collect
The Club may collect personal information including, but not limited to:
• Name, address, phone number, and email address
• Membership details and account information
• Billing and payment information
• Handicap information and golfing activity
• Event registrations and participation records
• Website or app usage information
• Employment-related information (for staff and applicants)

We collect only the information reasonably required to operate the Club and provide services to our members and guests.


2. How We Use Personal Information
Personal information is used for purposes including:
• Administering membership and Club services
• Processing payments, dues, and assessments
• Communicating Club news, events, and notices
• Managing tee times, tournaments, and handicaps
• Improving Club operations and member experience
• Meeting legal, regulatory, and governance obligations

We do not sell or trade personal information.


3. Consent
By providing personal information to the Club, individuals consent to its collection, use, and disclosure as outlined in this policy. Consent may be withdrawn at any time, subject to legal or contractual restrictions and reasonable notice.


4. Disclosure of Information
Personal information may be shared only when necessary:
• With service providers who support Club operations (e.g., accounting, IT, or club management software), under confidentiality obligations
• When required by law, regulation, or court order
• With the individual’s consent

All third-party service providers are required to safeguard personal information

The Club takes reasonable steps to protect personal information against loss, theft, unauthorized access, disclosure, copying, or modification. Safeguards include:

• Restricted staff access

• Internal policies and staff training

Personal information is retained only as long as necessary to fulfill its intended purpose or as required by law. When no longer required, information is securely destroyed or anonymized.

Individuals may request access to their personal information or request corrections if information is inaccurate or incomplete. Requests must be made in writing and will be addressed within a reasonable timeframe.


8. Website & Electronic Communications
The Club’s website may collect limited technical information (such as IP address or browser type) for security and performance purposes. Email communications may include newsletters, notices, or event information; recipients may opt out of non-essential communications at any time.


9. Location Information & Geofencing
The Club may collect and use limited location information through technologies such as geofencing when members, guests, or users voluntarily enable location services on their mobile devices or applications associated with the Club.

Location information is collected only for reasonable and identified purposes, which may include:
• Communicating relevant Club information while on or near Club property
• Supporting Club operations, events, safety, and security
• Improving Club services through aggregated and anonymized analysis

The Club collects the minimum amount of location information necessary to achieve these purposes. The Club does not engage in continuous or real-time tracking of individuals beyond the defined geofencing parameters.

Location information is not sold, traded, or used for third-party marketing purposes. Access to location information is restricted to authorized Club personnel or service providers who require the information to perform their duties and who are contractually obligated to protect it in accordance with this Privacy Policy and the Personal Information Protection Act (British Columbia).

Consent for the collection and use of location information is obtained through user device or application settings and may be withdrawn at any time by disabling location services. Withdrawal of consent may limit access to certain Club features or communications but will not otherwise affect membership status.

Location information is retained only for as long as reasonably necessary to fulfill the identified purposes or as required by law, after which it is securely deleted or anonymized.


10. Policy Updates
This Privacy Policy may be updated periodically to reflect changes in legislation, technology, or Club operations. The most current version will be available on the Club’s website or upon request.
